Teams

Working in a team

Find your way around a team's workspace: Home, tasks, notes, the team's Desk, people, search, and the team's settings.

When you work in a team, everything you make belongs to the team, and your own Desk stays as you left it. Switch between your own work and your teams from the switcher at the top of the page (your picture).

Finding your way

The side menu holds the team’s places: Home, Tasks, the Desk and Notes, the tools for your kind of team, then People, Sites, Forms and Team settings. On a phone, the four places you use most sit in the bar at the bottom, and the button at the top of every page opens all of them.

Press ⌘K (Ctrl K on Windows) or / to search the whole team: tasks, notes, pieces, people and submissions.

Home

Home shows what is waiting on you: tasks given to you, submissions you were asked to read, and critiques you owe. Under it is the team’s Desk, what is coming up in the next two weeks, who is writing right now, and the team’s pinned note. Whoever runs the team also sees three setup steps for its kind of team until they are done.

Tasks

Tasks are grouped into projects. A project can start from one of your team’s templates (a title, a round, an episode), which fills in its steps and dates. Each task can have an owner, a due date, a priority, labels, steps, files and a conversation. Type @ and a name in a comment to tell someone. See tasks as a list, a board or a calendar, and subscribe to the team’s calendar from Team settings › Calendar and iCal.

Titles

A publisher’s team has Titles: every book the press is making, soonest publication first, with its author, its date, its contract and its ISBNs. Search by title or author, and open a title for its record: ISBNs, prices, credits, contract and schedule. Download ONIX on a title record gives the record as ONIX 3.0, the feed distributors and retailers take.

Notes and the Desk

Notes are short things the whole team should know. Pin one to show it on Home. Pieces and worlds you make while working in the team go on the team’s Desk, where everyone on the team can open them. To bring something from your own Desk, choose Bring in your work on Home.

People and roles

Invite people from Team settings › People and seats by @username or email. Each person joins as an admin or a member, or with a role your team made, and each role can be given or refused each permission. Someone can be on several teams at once.

To give someone a seat as you invite them, check Give them a team seat in the invite dialog. Someone you invite can ask the team for a seat from the invite instead: the ask shows in People as Asked for a seat, and Give a seat lets them join. They are told as soon as they can.

Keeping the team safe

In Team settings › Protection, the owner can ask everyone to use two-step sign-in, and can lock down sharing, downloads and outside collaborators with one switch, with exceptions for chosen roles. Activity keeps a record of what was done and by whom, and Export downloads the team’s work as files you choose.
